Frequently Asked Questions

How much does it cost?

The cost is dependent on a number of variables such as number of handsets, location of your event, duration and event timings etc… You need to call or email us with the details so that we can give you a personalized quotation!

What information is needed for a quotation?

Our costs are clear and we aim to include everything upfront so that there are no surprises post-event! We need to know how many people will be at your event and its duration. Having a venue enables us to estimate personnel travel and freight costs. An indication of date, though not essential, is useful. We find conference and event organisers prefer to book our accommodation (where required) as they tend to have access to group rates. Our quotations include all costs except screens and video projectors although we can, of course, provide these items.

How do I use it on the day?

A technician will be assigned to work with you prior to the event. Their role is to help you get the most from the system throughout your event and help make it a success. On the day they will set up, test and run the equipment for you, and liaise with speakers and other technical staff to ensure everything runs smoothly.

How many options per question can I have?

As many as you want! You’re really only limited by the space on the slide. We’d recommend a maximum of 30 but if you’re asking your audience to rank a series of options, their answers could be anything between 0 and 99,999 for each one!

Is rehearsal time needed?

That’s for you to decide as it really depends on the familiarity of the speakers with the technology and how much it will be used during the course of the event. Other factors such as availability of the room can affect this. We always plan rehearsal time into our quotes in order to ensure everybody can familiarise themselves with the technology and make last-minute changes before the show starts.

Can we have extra questions programmed on the day?

Questions can be added, edited or removed right up until the event begins. In fact, this can even be done live using the ‘Dual Screen’ facility!

How do people know when to vote?

Apart from a signal from the speaker, the handsets will beep and text can appear on the LCD of each handset. A countdown will also appear on the audience screen. This could be a simple bar or a text message, or a more complex animation such as a clock or even a  video. All of this can be accompanied by sound effects and/or music.

How long do they get to vote?

Each question can be set to use a different countdown time. It really depends on the complexity of the question and what is required of the audience during the vote. For a simple option style question where only one response is required, 10 seconds is normal more than adequate

Can the audience know which buttons they have pressed and can they change their mind during the votes?

No problem either way. The handset offers a full display of everything entered, as well as the ability to cancel and re-enter.

How long does it take to process the votes?

With our Messenger handset the results are ready instantaneously. This means that as soon as the voting has finished, the results can be displayed.

How can I be sure all the handsets have been taken into account?

Data integrity is of paramount importance to us. Our system knows how many handsets have responded and how many are still to respond at any point in time. All data received is guaranteed to be 100% accurate.

How quickly can I have a copy of the results?

Our software is totally integrated in Microsoft PowerPoint so at the end of the event a PowerPoint Presentation with all the results will be available. Additionally, the results can be exported into an Excel spreadsheet and they are also stored in a Microsoft Access database. All of these formats can be burned onto a CD or copied to a USB memory stick if required.

What kind of events is this most frequently used at?

Conferences of all kinds use this equipment and any organization conducting meetings could benefit from the technology. Other environments in which audience voting is a real asset include: Quiz Events, Question and Answer sessions, AGMs, Education and Training, Examinations, Market Research, Public Consultations, Product Launches, Participatory Budgeting, Breakout Rooms, Team Building, Workshops, and Award Ceremonies.

Who uses it at present?

Group Dynamics are in a unique position of supplying virtually every type of business in the UK and worldwide. Any business interested in the opinions of their audiences can use voting technology to better understand their attitudes and requirements. We work with some of the smallest organizations to some of the biggest throughout the UK and the world.
